BillMyTime is a Clockify Marketplace add-on built and operated by SPAINLINK DEVELOPMENT SOLUTIONS S.L. (“Spainlink”, “we”, “us”), the company behind the BillMyTime product.

Spainlink is the data controller for the data we process to run, secure and improve BillMyTime and to communicate with you. Where a company installs BillMyTime into its Clockify workspace to invoice its own contractors, Spainlink acts as a data processor, handling that workspace’s data on the company’s behalf and under its instructions.

We handle three kinds of data, all of it tied to producing your invoices:

a) Data from Clockify. When an admin installs BillMyTime into a Clockify workspace, the add-on accesses — through Clockify’s API, with the permissions granted on install — the workspace data needed to build invoices: time entries and their approval and billable status, projects, periods, and the identity of the workspace members (name/email) whose time is being invoiced. We read only approved and billable time; other time is ignored.

b) Invoice details you enter. The information you type into BillMyTime: your “Bill From” details (name or business name, tax ID, address, payment details such as IBAN/BIC, email, optional logo and notes), the “Bill To” company details set by the workspace admin, your hourly rate, currency, and tax/withholding labels and percentages.

c) Invoices we generate. The PDF invoices BillMyTime produces, which we store so you and your workspace can retrieve them.

d) Information you send us directly. If you contact us for support or book a demo, we process the details you provide — such as your name, email address and the content of your message — to respond and arrange the call.

We do not process payment-card data (BillMyTime does not take payments), and we do not knowingly collect any special-category personal data.

We process this data for one purpose: to provide the BillMyTime service — reading approved time and generating standardized, tax-ready invoices. Under the GDPR our legal bases are:

• Performance of a contract — to deliver the add-on you installed, under the terms you accepted when adding BillMyTime from the Clockify Marketplace.
• Our legitimate interests in operating, securing, supporting and improving BillMyTime, balanced against your rights and freedoms.

We do not use your data for advertising, profiling, or any purpose unrelated to producing your invoices. BillMyTime does not carry out automated decision-making that produces legal or similarly significant effects about you — generating an invoice and converting currency are routine calculations, not decisions about individuals.

Your data is stored on our own infrastructure, operated for us by Render (our hosting provider), on a persistent, access-controlled disk located in the United States (Oregon). Data is encrypted in transit (TLS/HTTPS). We do not copy your data onto third-party marketing, analytics or advertising platforms.

Because Spainlink is established in the European Union and this hosting is in the United States, your personal data is transferred outside the European Economic Area. We rely on appropriate safeguards for that transfer — the European Commission’s Standard Contractual Clauses, incorporated into our data processing agreement with Render — so your data keeps an EU level of protection wherever it is processed.

We keep the list of third parties short, and we never sell your data:

• Render — hosting and encrypted storage of the add-on and your data.
• Clockify / CAKE.com — the platform BillMyTime runs inside and the source of your time data; governed by Clockify’s own privacy policy.
• Google (Calendar / Meet) — only if you book a demo through our scheduling link, to arrange the call.
• European Central Bank — we fetch published reference exchange rates to convert currencies; no personal data is sent to the ECB.

We may also disclose data where we are legally required to.

We keep your invoice details and the invoices we generate for as long as your workspace has BillMyTime installed, so the add-on stays usable. You can ask us to delete your data at any time by emailing [email protected], and we will remove it from our systems — except for limited records we are required to keep to meet legal or tax obligations.

We protect your data with encryption in transit (TLS/HTTPS), access restricted to authorized Spainlink personnel on a need-to-know basis, and regular maintenance of the systems that run BillMyTime. No system is perfectly secure, but we take reasonable, industry-standard measures appropriate to the data we hold.

Under the GDPR you have the right to access, correct, delete, restrict or object to our processing of your personal data, and to data portability. You can exercise most of these directly in the add-on — your invoice details are editable and deletable at any time — or by emailing [email protected]. You also have the right to lodge a complaint with your data protection authority; in Spain this is the Agencia Española de Protección de Datos (AEPD).

This website uses no advertising or analytics cookies, no tracking pixels, and no third-party marketing scripts. The BillMyTime add-on uses only the essential session data needed to keep you signed in and run the service — nothing for tracking or advertising.

BillMyTime is a business tool and is not directed at children. We do not knowingly collect data from anyone under 16.

We may update this policy as the product evolves. We’ll revise the “last updated” date above, and for material changes we’ll make a reasonable effort to notify workspace admins.
